The following e-mail content has been sent to participating towns along with Newsletter 6 and the applicants nomination form.

Dear Friends,
A belated very Happy New Year to you all.
Sherborne Douzelage Committee and our partners have been working hard to arrange the details of this conference.
We very much look forward to receiving your delegation and in order to inform you of what is happening and ask for your assistance to make everything run smoothly we have prepared the attached Newsletter No. 6 and the booking form .
The form asks you to complete some actions as below:
a. Please complete and send us the attached registration form by 14th February with names, addresses and accommodation preference of your delegates.
b. Please send us, before 14th February, the travel details of arrival and departure dates, times, locations and flight numbers of your delegates.

There are some matters that we would like you to put in progress to prepare for the conference and the workshop element of it, as below:

c. The key outcome of this project (VolunTEAMing) is a Memorandum of Understanding for your Mayor or Town Council representative to approve and sign in Sherborne. We have started discussions with our town council and trust that you have also done so. Please send us comments on your progress.

d. Please will your civic representative bring the town seal/stamp to place on the final form to be signed and if possible bring their mayoral chain of office to wear at the signing ceremony.

e. Please bring a 5 minute (max 5 viewgraphs) Power Point presentation to describe what you are doing to enhance or support volunteering in your town. This should ideally relate to the action plans that you started in the outcome of the Leaders workshop.

f. Please prepare and bring a poster or information sheet to illustrate volunteering in your town/ country to display at the Volunteer Fair on 5th May.

If your Mayor or Town Council need a more Formal Invitation than they have already received then please let me know as soon as possible such that I can arrange it,
